Profile

Inside EmployPlan, user profiles provide a key column in the architecture of the system, functioning as a hub for project allocation, skill management, competency tracking, and role assignment. Each of the categories will be outlined below.

Professional Roles

Inside the user profile, professional roles can be added, managed, and monitored throughout professional development. There are three key icons to note in this page: the Trashcan icon, which will delete the professional role, the Star icon, which will set the role as the primary role, and the Plus icon underneath the existing roles, which will allow you to add new roles. You can expand a role to find more detailed information by selecting the Arrow button on the right side.

Depending on the seniority level selected from the drop-down menu, a specific set of skills and skill levels will generate after a role is added.

These skills are automatically validated against the user's established skills from their profile to show areas that need development and the importance of that development to the actualization of the skill level. By selecting the Courses button associated with each skill, you can access the Course Explorer with the filters set to appropriate coursework for that skill and level.

The statistics tab of the user profile shows a graphical representation of skill level progression for the selected time frame and skillsets, with color coordinated lines identifying level changes by day / week / month (depending on range selection).

Competencies

The compentency tab provides a hub for assigned, in-work, and completed professional development actions at the user level. These include courseware allocated through the education system, books, professional skills, languages, and certificates.

Courses

Courses in the user profile provides a top-down view of the assigned, in progress and completed professional education resources for skill development. While courses are normally assigned and managed through the Educate section of the platform, they can be also be added directly to the tracking mechanism using either the add course function or by engaging the Course Explorer.

Once a course is being tracked, management options for the course become available, with the ability to mark it as In Progress, To Do, and Finished. Courses can also be deleted by selecting the Trashcan Icon.

The books section of the user's profile shows a list of the completed books added to the profile by the user.

Users can add books to their profile by selecting them from the drop-down menu, which has a built in search function, or adding the book directly using the Add New Book function in the drop-down menu.

When the Add new book option is selected from the drop-down menu, a prompt window will appear allowing you to input the pertinent information for the book.

Text fields for the Book's title and author are provided first, followed by a scrollable numerical field for page length. Additionally, a drop-down menu for the skills covered in the book is availble, with the ability to tag multiple options.

When the information for the book has been added to the fields, selecting the Add button will save the book both in the system's library and to the user's profile.

Experience

Professional skills management is provided in the Experience tab, with the option to add, edit, and delete skills directly through the interface.

Select the Pencil Icon to edit the skill, or the Trashcan Icon to delete the skill.

WARNING: Deleting a skill is a permanent action, and will require you to re-input the skill to reverse it.

When you click on the text saying Add Experience, a prompt window will open. Select the skills you want to add to the learning log from the drop-down menu.

NOTE: Multiple skills can be selected simultaneously in learning logs

Additionally, input the amount of time learning the skill in months in the numerical box. When the information in the fields is correct, select the Add button to add the skills to the profile.

Languages

Language proficiency allows users to add, manage, and delete their learned language skills using the Common European Framework of Reference for Languages (CERF) Common reference levels as the standard.

Additional languages can be added by clicking the Add language button, which will open a prompt window. Select the desired language from the searchable drop-down menu, and then select the appropriate skill level (see reference levels above). When this information is correct, select the Add button to persist the changes.

Certificates

Competency in skills validated through certification is logged and managed in the Certificates section of the Competencies tabs, with the ability to view, add, and delete completed certificates from the user's profile.

Additional certificates can be added by clicking the Add certificate text button, which will open a prompt window. Input the name of the certification and the provider in the appropriate text boxes. Select the pertinent skill(s) covered by the certification using the drop-down menu. When the information is correct, select the Add button to persist the changes.

Selecting the ... Icon to the right side of the screen will open a drop-down of available actions, including assign, share profile, set labels, and more.

Selecting the Request Absence button will engage a prompt window for the user the input upcoming absence information into the EmployPlan system.

This includes the a selection list for the absence type, a description text-box the user can provide more information through, and a absence date selection drop-down that allows you to select the date or range of dates needed for the absence being submitted. When the required fields have been completed, select the Save button to persist the changes.

Selecting the Upload CV action will automatically trigger an upload window through your browser, allowing you to directly upload a CV file from your documents to the user's profile.

Assign

When you select the Assign function for a user, a prompt window for project allocation will appear. Select the project you want to allocate to first from the drop-down in the top right. Selecting Create Project from the drop-down will navigate you to the create new project page.

Next, select the role that you want the user selected to fill from the available options that generate from the projects empty allocations.

By selecting the Set hour rate text highlighted above, the rate for the allocation can be edited.

Share Profile

Selecting the Share Profile Action will copy a link for the users profile in the EmployPlan platform to your clipboard, which you can then paste normally (Ctrl+V).

Set Contractual Details

By selecting the Set contractual details action, a prompt window will open allowing you to manage the users employment and allocation details. This includes full time employment percentage (%FTE), availability, allocation time frames, and hourly rates.

  • Selecting the + Icon will allow you to add additional allocations, the date range being selectable from the calendar drop-down, and the hourly rate being added in the text box in line.

  • Selecting the - Icon will delete the row from the Rates section of the details window.

Select the Save button to confirm the changes for the user's contractual details.

Selecting the Change country of residence action will open a prompt window allowing adjustment for the user's country of residence and holiday schedules.

Note: The application will infer public holidays based on the choice made in the Holiday Profile

Set Labels

Labels for users can be added by selecting the Set labels action, which will open a prompt window allowing existing labels to be deleted, as well as new labels added, which separate automatically via commas.

Delete Account

Selecting the Delete Account action will open a prompt window confirming the account deletion. In order to delete an account, the profile's first name and surname must be input into the text box, matching exactly.

The deletion can be scheduled for a later date by opening the calendar drop-down. If the deletion is not scheduled, it will happen immediately.
